What I build

Operational Systems Installed

The exact workflows, accountability gates, and operating engines I build inside your business.
01
The Founder Exit Gate (People & Accountability)
The problem: Your staff texts you for every small decision. Nothing moves, ships, or gets resolved unless you personally touch it.
• Role & ownership matrix: every recurring task, from daily opening to client invoicing, gets a primary owner and a designated backup.
• Tiered escalation protocol: what staff must resolve on their own, what goes to a team lead, and the only two scenarios that ever hit your phone.
• Onboarding and training systems: plain-English SOPs and day-one-to-day-thirty checklists built from how the work actually happens, so new hires reach full productivity without you shadowing them.
02
Weekly Scorecard & KPIs (Operating Rhythm)
The problem: You run the business from status updates and gut feel, and find out about problems from the bank statement.
• Exceptions-only scorecard: five to seven measurables for your business type, each with a threshold.
• 30-minute weekly meeting: every red item leaves with one owner and a date. The same issue three weeks running triggers a written fix, not another meeting.
• Quarterly priorities set, tracked, and reviewed, so the business moves on a plan and not on whatever caught fire this week.
03
Margin & Cash Flow Gating (Financial Controls)
The problem: Unbilled hours drain margin, client scope creeps with zero paperwork, and inventory gets ordered with no controls.
• Signed change-order gates: hard stops on creative, construction, or event revisions. No work starts, no supplies get bought, and no trade hours burn until the change order is signed and funded.
• Automated par-level inventory: minimum thresholds tied to reorder triggers, so supplies replenish before stockouts, without you counting on Sunday night.
• Weekly billing reconciliation: hours and deliverables reconciled against invoices every Friday, with a monthly close date coordinated with your bookkeeper.
04
Physical Space & Facility Infrastructure
The problem: Unmanaged contractors, missed municipal inspections, lease disputes, and maintenance fires interrupting client service.
• Milestone-locked contractor draws: payments released against signed inspections and verified trade checklists, ending payment disputes and unfinished work.
• Preventive maintenance schedules: digital logs and vendor accountability terms for HVAC, specialized equipment, and facility upkeep, so nothing closes you unexpectedly.
• Lease and subtenant compliance: operational rules for multi-suite and commercial tenants covering facility standards, shared space, and lease covenants, plus renewal and turnover protocols.
05
Custom Digital Tooling, AI & Workflow Automation
The problem: Your team juggles three apps, retypes data between spreadsheets, and loses client requests in Slack.
• Delivery and project boards: one asynchronous view of where every project, ticket, or order sits in real time.
• Automated client gateways: self-serve onboarding, agreement signing, reminders, and update notifications that keep clients informed without manual emails.
• AI-assisted drafting of proposals, SOPs, and client updates; no-code automation connecting booking, payments, CRM, projects, and bookkeeping; and custom-built web applications where no off-the-shelf tool fits. I’ve built the apps that run my own firms.
06
Launch Architecture (Starting Out)
The problem: The lease is signed and the Instagram is live, and there’s no operation behind the door.
• Launch sequence by dependency: entity, banking, insurance, licensing, lease, build-out, tools, hires, soft open, opening day.
• Business model tested on paper: price, cost per service, visits per week to break even and to pay yourself, and the cash cushion opening day actually requires.
• Systems chosen once: booking, payments, bookkeeping, and messaging that work together from day one, so you aren’t rebuilding at month six.
Thirty years of doing it. Now let’s do yours.
